Job Description

Job Title: Executive Assistant

Location: Onsite in Dallas, TX

Compensation: $90,000 – $100,000 annually

Overview

We are seeking a highly skilled and proactive Executive Assistant to support the CEO in managing day-to-day operations, client engagements, and strategic initiatives. This role requires exceptional organizational skills, discretion, and the ability to thrive in a fast-paced, dynamic environment. The ideal candidate brings proven experience supporting executives in tech, SaaS, or related industries and is passionate about the outdoor recreation, parks, or hospitality sectors.

Key Responsibilities

Executive Support

  • Manage and optimize the CEO’s complex calendar across global time zones.
  • Coordinate extensive travel logistics, including client visits, conferences, and team offsites.
  • Prepare briefing materials, agendas, and itineraries for meetings and trips.
  • Handle confidential communications and sensitive matters with professionalism.

Operational Support

  • Partner with the CEO to oversee daily business operations.
  • Track follow-ups from leadership meetings and ensure accountability across departments.
  • Collaborate with product and engineering leads to support execution of strategic priorities.

Strategic Partnership

  • Act as a thought partner to the CEO on client engagement, industry trends, and growth opportunities in outdoor recreation, parks, and hospitality.
  • Draft high-quality communications, presentations, and updates for internal and external audiences.
  • Support client and stakeholder relationship-building, including pre/post-meeting documentation and insights.

Cross-Functional Coordination

  • Liaise with internal teams (Product, Engineering, Marketing, Client Success) to gather information and drive alignment.
  • Represent the CEO’s perspective and priorities when appropriate.

Qualifications

  • 5+ years’ experience as an Executive Assistant or Chief-of-Staff-level support, ideally in SaaS, technology, or related industries.
  • Exceptionally organized, proactive, and adaptable with the ability to manage multiple priorities.
  • Strong written and verbal communication skills with a polished professional presence.
  • High emotional intelligence with discretion, integrity, and sound judgment.
  • Proficient in Microsoft Outlook, Teams, Slack, and project management tools.
  • Passion for outdoor spaces, travel, parks, or hospitality strongly preferred.
  • Ability to travel occasionally to support CEO at events and offsites.
